Effective Date: June 1, 2026
AI Pre Review ("Company," "we," "us," or "our") respects your privacy and is committed to protecting the confidentiality of the manuscripts and data you entrust to us. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our web-based service for critical analysis and suggestions on medical and scientific publications prior to journal submission (the "Service"), our website, and related features.
By using the Service, you consent to the practices described here. If you do not agree, please do not use the Service.
1. Information We Collect
We collect information in several categories:
- Account and Contact Information: Name, email address, affiliation/institution, password, and other details you provide when registering or contacting us.
- User Content (Manuscripts and Related Materials): Manuscripts, figures, datasets, supplementary materials, and any other content you upload for pre-review analysis. This may include sensitive scientific, medical, or unpublished data.
- Usage and Technical Data: IP address, browser type, device information, operating system, access times, pages viewed, and interaction data (e.g., via cookies, logs, or analytics tools).
- Payment Information (if applicable): Processed via third-party providers; we do not store full card details.
- Communications: Support inquiries, feedback, or correspondence.
We do not intentionally collect sensitive personal data (e.g., health, racial, or biometric data) beyond what may be incidentally included in your scientific manuscripts. You are responsible for ensuring your uploads comply with applicable laws and ethical standards.
2. How We Use Your Information
We use the collected information to:
- Provide, operate, and improve the Service, including generating critical analysis reports and suggestions.
- Process account creation, authentication, and support requests.
- Communicate with you about the Service, updates, or responses to inquiries.
- Ensure security, prevent fraud, and enforce our Terms of Use.
- Analyze aggregated/anonymized usage trends to enhance the platform (without identifying individual manuscripts or users where possible).
- Comply with legal obligations.
WE DO NOT USE YOUR MANUSCRIPTS OR USER CONTENT TO TRAIN ANY AI MODELS. OUR AI OPERATES ON A PRIVATE, CONTROLLED PLATFORM THAT DOES NOT LEARN FROM SUBMISSIONS.
3. Sharing and Disclosure of Information
We do not sell your personal information or User Content. We may share information only as follows:
- Service Providers: With trusted vendors (e.g., hosting, cloud storage, payment processors, analytics) who are contractually bound to protect data and use it only for the purposes we specify. Our AI platform is private.
- Legal Requirements: If required by law, subpoena, court order, or governmental request (e.g., law enforcement).
- Business Transfers: In the event of a merger, acquisition, or sale of assets, with appropriate protections.
- With Your Consent: Or as directed by you (e.g., sharing a report).
We do not share identifiable User Content with third parties for marketing or unrelated purposes. Anonymized/aggregated data may be used internally or shared for research/service improvement.
4. Data Security
We implement reasonable administrative, technical, and physical safeguards (e.g., encryption, access controls, secure servers) to protect your information. However, no system is completely secure. We cannot guarantee absolute security, and you transmit data at your own risk. We use a private AI platform stored on secure servers with no external training on your data.
5. Data Retention and Deletion
We retain your information only as long as necessary for the purposes outlined, to comply with legal obligations, or resolve disputes. You may request deletion of your files and account data at any time through your account settings or by contacting us. Deletion may not be immediate due to backups or legal holds, but we will process it promptly where possible. Certain anonymized data may be retained indefinitely for analytics.
6. Your Rights and Choices
Depending on your location, you may have rights to:
- Access, correct, or delete your personal information.
- Opt out of certain processing (e.g., marketing).
- Withdraw consent (where applicable).
- Data portability or objection to processing.
For California residents or others under CCPA/CPRA or similar laws, additional rights apply (e.g., no selling/sharing). To exercise rights, contact us (details below). We will respond within required timelines. We do not discriminate based on rights requests.
EU/EEA users: We act as a data controller for your information. Processing is based on contract necessity, legitimate interests (service improvement/security), or consent.
7. Cookies and Tracking Technologies
We use essential cookies for functionality, plus analytics cookies (e.g., Google Analytics) for usage insights. You can manage preferences via browser settings. We honor "Do Not Track" signals where feasible.
8. International Data Transfers
If you are outside the US (our primary base), your data may be transferred to and processed in the US or other countries. We use appropriate safeguards (e.g., standard contractual clauses) for transfers subject to GDPR or similar laws.
